Privacy Policy

Last updated: August 31, 2026 · GreekHouse is operated by BigTopa, LLC ("GreekHouse," "we," "us").

GreekHouse is the digital home for Greek organizations — chapter management, dues, recruitment, events, and community in one place. This policy explains what information we collect, how we use it, and the choices you have, for both the organizations that use GreekHouse and the members and alumni they serve.

Information we collect

We collect information you provide and information generated as you use the platform:

How we use information

Dues & payments

Payments are processed by Stripe and other selected providers. Their handling of payment information is governed by their own privacy terms. GreekHouse receives transaction metadata (amount, status, and what the payment was for) needed to record dues and fees, issue receipts, and report to the chapter.

Recruitment & intake information

Information about potential new members is entered and controlled by the chapter. Chapters are responsible for collecting it lawfully, for what they choose to record, and for complying with the policies of their national or international organization, host institution, and governing council. Chapters can delete recruitment records at any time, and we recommend doing so once a recruitment cycle closes.

Organizations as data controllers

When a chapter, alumni association, or graduate chapter uses GreekHouse to manage its members and operations, that organization is the controller of its data and GreekHouse acts as a processor on its behalf. Requests to access, correct, or delete member data should be directed to the relevant organization; we assist organizations in fulfilling those requests.

Linked organizations

Undergraduate chapters, chapter-linked alumni associations, and graduate chapters are independent organizations with separate data. Information moves between them only through a link that both sides opt into, and only for the areas each has enabled. Either side can review or end a link at any time. We do not share data between organizations that are not linked.

Sharing & disclosure

We do not sell personal information. We share it only with: service providers who help us operate the platform (under contract); the organization whose house the data belongs to; and authorities where required by law. GreekHouse does not display third-party advertising.

Cookies

We use necessary cookies to run the service and, where permitted, analytics cookies to understand usage. You can control cookies through your browser settings.

Data retention

We retain information for as long as an organization's account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. Organizations can request export or deletion of their data subject to legal record-keeping requirements (for example, financial records).

Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise these rights, contact the organization that holds your data, or reach us at privacy@greekhouse.io and we will route your request appropriately.

Security

We use administrative, technical, and physical safeguards — including encryption in transit and at rest and access controls — to protect information. No system is perfectly secure, but we work to protect your data and to notify affected parties of incidents as required by law.

Children

GreekHouse is intended for collegiate and alumni Greek organizations and adults. It is not directed to children under 13, and we do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the "last updated" date; material changes will be communicated as required.
